About the Role
OL Products Inc is seeking a Technology & AI Operations Specialist to serve as a forward-thinking hub between our systems, data, and customer-facing operations. This role is built for someone who leads with technology — fluent in AI-powered tools, enterprise platforms like Sage or NetSuite, and the Microsoft ecosystem — and who applies that technical depth to keep our billing, data, and customer operations running at peak performance. You'll drive efficiency through smart use of AI, automate repetitive workflows, and ensure the accuracy of the data that powers our business. Customer interaction is part of the role, but technology mastery is the foundation.
What You'll Do
AI & Technology
- Leverage AI tools — including Claude, Copilot, Perplexity, and similar platforms — daily to automate data processing, draft communications, and accelerate reporting tasks
- Build and maintain AI-assisted workflows to reduce manual effort across billing, order management, and customer correspondence
- Stay current on AI tool capabilities and proactively identify new applications to improve team efficiency
- Serve as an internal resource for AI best practices, helping colleagues understand and adopt AI-powered tools
Systems & Data
- Operate and maintain records in Sage and/or NetSuite — including invoicing, accounts receivable, order management, and customer account data
- Build, update, and automate Excel-based reports using pivot tables, XLOOKUP, Power Query, and advanced formulas to track orders, billing trends, and exceptions
- Utilize the full Microsoft 365 suite (Excel, Outlook, Teams, SharePoint, Word) as the operational backbone of day-to-day work
- Monitor and audit data integrity across systems, identifying and correcting discrepancies proactively
- Use NetSuite SuiteAnalytics, saved searches, and reporting tools to generate operational insights
Operations & Process
- Process customer orders accurately in Sage/NetSuite and ensure timely, correct invoice generation
- Monitor accounts receivable aging and coordinate follow-up on outstanding balances
- Document processes and identify opportunities to streamline operations using technology and automation
- Support reporting on customer activity and operational performance using available analytics tools
Customer Support
- Respond to customer inquiries related to orders, invoices, and account status with clarity and professionalism
- Research and resolve billing discrepancies by cross-referencing data in Sage/NetSuite and Excel
- Communicate complex billing or data issues in plain language to both customers and internal stakeholders
What We're Looking For
Required
- Hands-on experience with AI tools such as Claude, Perplexity, Microsoft Copilot, ChatGPT, or similar — used regularly for productivity, data tasks, or communications
- Proficiency in Sage and/or NetSuite (invoicing, AR, order management, reporting)
- Advanced Microsoft Excel skills — pivot tables, XLOOKUP/VLOOKUP, Power Query, data validation, and complex formulas
- Fluency across Microsoft 365 — Outlook, Teams, Word, SharePoint
- 2+ years in an operations, billing, data coordination, or systems-focused role
- High attention to detail with a track record of maintaining data accuracy across platforms
- Strong written and verbal communication skills
- Ability to manage multiple priorities and resolve issues independently
Preferred
- Formal AI training, certification, or coursework (any platform)
- Experience building AI-assisted workflows or automations in a business context
- Familiarity with NetSuite SuiteAnalytics or saved searches
- Exposure to Google Analytics, Coupa, or similar business intelligence tools
- Experience in product distribution, manufacturing, or wholesale
- Associate's or Bachelor's degree in Information Systems, Business, Accounting, or related field

Pay: $50,000.00 - $80,000.00 per year
